JOB VACANCY ANNOUNCEMENT
The Executive Director of Nyang'hwale District Council invites qualified Tanzanians to apply for four (04) job vacancies in this Council, after obtaining permission from the President's Office, Public Service Management and Good Governance, for the following positions:
1.0 OFFICE MANAGEMENT SECRETARY II - 02 POSTS
1.1 DUTIES AND RESPONSIBILITIES
i. Typing letters, forms and regular and confidential documents.
ii.Receiving guests and listening to their problems, and directing them to where they can be assisted.
iii.Keeping records and minutes of events, appointments, guests, meeting schedules, trips of his/her superior and other work schedules.
iv.Searching for files and documents needed in the execution of work duties.
v.Receiving files and distributing them to Officers in the relevant Department/Unit/Section.
vi.Collecting, keeping and returning files and documents to the relevant sections.
vii.Arranging extracts and making preparations for various meetings.
viii.Preparing a list of requirements for office equipment.
1.2 QUALIFICATIONS OF THE APPLICANT
To be employed, graduates of Form Four or Six with a Diploma in Secretarial Studies or an NTA level 6 certificate in Secretarial Studies. Additionally, they must have passed a Shorthand subject in Kiswahili and English at 100 words per minute and acquired office computer programs such as: Word, Excel, PowerPoint, Internet, E-mail and Publisher from any college recognized by the Government.
1.3 SALARY LEVEL
According to Government Salary Scales - TGS C
2.0 RECORDS MANAGEMENT ASSISTANT II - 02 POSTS
2.1 DUTIES AND RESPONSIBILITIES
i. Listing incoming correspondence in the register.
ii.Listing outgoing correspondence from the Institution in the register.
iii.Distributing files to action officers.
iv.Receiving files returning to the registry from action officers.
v.Analyzing, listing and arranging records/documents into groups according to subject (Classification and Boxing) for office use.
vi.Storing/arranging records/documents on file racks/cabinets in the registry/record storage rooms.
vii.Filing records (letters, documents, etc.) in files.
viii.Tracking the circulation of files within the Institution.
ix.Performing any other duties assigned by his/her supervisor.
2.2 QUALIFICATIONS OF THE APPLICANT
To be employed, graduates of Form Four or Six with a Diploma or NTA level 6 certificate in the field of Records Management from colleges recognized by the Government, with computer skills.
2.3 SALARY LEVEL
According to Government Salary Scales - TGS C
GENERAL CONDITIONS
i. All applicants must be Tanzanian citizens aged between 18 and 45 years, except for those already employed in the Public Service.

iv.Applicants who are already Public Servants and have obtained qualifications for promotion to a different cadre than the one they are in, should channel their job application letters through their employers and the Employers must certify accordingly.
v.All applications must be accompanied by certified copies of academic and professional certificates by a Magistrate/Lawyer which include Form Four and Form Six Certificates for those who reached that level and certificates for various trainings according to the requirements of the specific job: Postgraduate/Degree/Advanced Diploma/Diploma/Certificate – Form Four and Form Six Certificates, Computer Certificate, Professional Certificates from Respective Boards.
vi.Testimonials, Provisional Results, Statement of Results, Form IV and Form VI Results Slips WILL NOT BE ACCEPTED.
vii.Applicants who studied outside Tanzania must ensure their certificates are verified and validated by the relevant Authorities (TCU, NECTA and NACTVET).
viii.Applicants who have retired from the Public Service are not allowed to apply unless they have permission from the Chief Secretary.
ix.Applicants for jobs who are already employed in promotional positions within the Public Service should not apply and are required to adhere to the instructions in Circular Letter No. CAC. 45/257/01/D/140 dated 30th November, 2010.
x.Submission of false information and forged qualifications will lead to legal action against the concerned individuals.
xi.Applicants who submit false information and forged qualifications will be liable to legal action.
xii.The deadline for submitting applications is 18th November, 2025.
